Vehicle hire & fleet support

Short and longer-term hire of cars, vans, trucks, buses, minibuses, municipal and specialist vehicles for public bodies and businesses, covering fleet downtime, seasonal peaks and new services, with maintenance, replacement vehicles and clear reporting.

Fleets rarely have exactly the vehicles they need. Owned vehicles go off the road for repairs, older minibuses become unreliable, and services take on work that needs extra vans for a few weeks or a few months. Hiring is the right answer, but managed badly it becomes a patchwork of bookings, unclear costs and vehicles returned with disputes about damage.

We run vehicle hire as a managed service through our operations business. Departments request what they need, vehicles are delivered and collected with photo-evidenced condition checks, replacements are arranged when something goes wrong, and every hire is visible in one report with its cost, purpose and purchase order.

Who this is for

  • Local authority fleet and transport teams covering vehicles off the road
  • Council service areas needing minibuses or vans for a period
  • Public bodies and contractors mobilising new services
  • Businesses needing short-term cars, vans, trucks or minibuses

Delivery

How we deliver it

This describes how we run work of this type. It is method, not a completed contract.

  1. 1

    Request

The department submits the vehicle type, dates, location and cost code through one booking route, and receives a confirmation with the vehicle and rate.

  2. 2

    Driver and compliance checks

Driver details confirmed against the agreed policy, including licence checks and the correct entitlement for minibuses, before the vehicle is released.

  3. 3

    Delivery and handover

The vehicle is delivered, checked with the driver, and its condition, mileage and fuel recorded with photographs.

  4. 4

    On hire

Breakdown cover and a named contact throughout, with extensions or early returns handled on request.

  5. 5

    Collection and close

The vehicle is collected, checked against the handover record, and the hire closed with any charges evidenced.

  6. 6

    Reporting and review

Monthly reporting of hires by department, vehicle type, duration and cost, reviewed with the fleet team to spot where hiring could be reduced or owned vehicles replaced.

FAQ

Questions buyers ask

Can you supply vehicles at short notice?

Urgent requests are handled through the same booking route, with the vehicle type, location and timing confirmed back to the requester. Lead times for each vehicle type are agreed in the contract.

What happens if a hired vehicle breaks down?

Every vehicle has breakdown cover, and a replacement is arranged through your named contact so the service can carry on.

How are damage charges handled?

Condition, mileage and fuel are recorded with photographs at handover and return. Any charge is shown against those records, so it can be checked rather than argued.

Can different departments book under one contract?

Yes. Each department books through the same route against its own cost centre and purchase order, and reporting is available both by department and for the contract as a whole.
